Export and submission guide
Get your files ready for the official portal
Export a clean narrative, draft forms and a complete submission package, then follow step by step instructions for the portal your agency uses.
Independent platform. Not affiliated with or endorsed by any government agency. Data from public federal sources.
The last mile is where applications fail
Plenty of strong proposals are never reviewed because something went wrong at submission: a missing attachment, a budget that does not add up, an expired registration or a file uploaded to the wrong place. GovGrantsUSA gives you a final set of checks and files before you log in to the portal, so the last hours before a deadline are calmer.
What you can export
| File | What it contains |
|---|---|
| Narrative PDF | All of your application sections in one formatted document. |
| Draft SF-424 | Applicant information from your organization profile, laid out like the standard application form so you can check it. |
| Draft SF-424A | Your budget line items arranged like the standard budget form. |
| Biosketches | Generated from analyzed resumes, in an NIH, NSF or general layout depending on the agency. |
| Submission package ZIP | A cover checklist, all of the files above and every supporting document attached to the application, organized in folders. |
The SF-424 family files are drafts for your review, not the official submission. Complete the official forms in the portal your notice names.
Package validation
Before you build a package, the validation check looks for problems that commonly cause rejections or delays:
- A budget total that does not match your requested amount
- A request above the award ceiling or below the floor in the notice
- Sections over their word limit or with no content
- [APPLICANT] placeholders that still need your input
- A deadline that has already passed
The results are printed on the package's cover checklist, so the person submitting can see them at a glance.
A submission guide for your portal
Different agencies use different portals. Based on the agency behind your opportunity, the guide points you to the right one:
- Grants.gov for most federal opportunities. You need a Grants.gov account linked to your organization's SAM.gov registration.
- eRA Commons for NIH, which requires an eRA Commons account and a registered institution.
- Research.gov for NSF, which requires an NSF account and a registered organization.
The guide includes a pre-submission checklist built from your application, the steps to follow in the portal, and the export options available to you. Registrations such as SAM.gov can take weeks, so check them early.
A calmer final week
A simple routine works well. A week before the deadline, run package validation and fix anything it flags. Three days out, export the narrative and draft forms and have someone who did not write the application read them against the notice. The day before, build the submission package, compare its checklist with the notice one last time, and submit early enough to deal with portal problems. Many portals check files after upload, and errors are easier to fix with time to spare.
GovGrantsUSA does not submit applications or register you with any government system. You submit through the official portal and should confirm every requirement in the official notice.
